JOB POSTING –Accounts Payable Administrator (Contract)

The Accounts Payable Administrator is responsible for maintaining payable records, verification of invoices, preparation of accurate and timely payment to suppliers, and responding to enquiries regarding account status as required. Responsible for supporting the Finance Manager with month end close requirements such as account reconciliations, reports, journal entries, etc. This position is for a 6 month contract.

Essential Duties and Responsibilities:

  • Match packing slips and goods receipts to vendor invoices to confirm quantities and price
  • Ensure non-inventory vendor invoices are approved and allocated to the correct expense accounts
  • Review and reconcile the Goods Received Note (GRN) trial balance
  • Process payment runs twice per month and match invoices to cheques
  • Data entry and filing of all account payable invoices and payment remittances
  • Respond to vendor queries regarding payments and outstanding invoices
  • Maintain company vendor database in both the ERP system and the bank
  • Assist with account reconciliation and various month end and year end duties
  • Provide supporting documentation for audits
  • Provide support for prepaid accounts and reconciliations
  • Assist with cash expenditures
  • Maintain applicable operating procedures/work instructions to ensure they are updated on a regular basis to reflect current processes
  • Provide support to Finance Manager, Plant Accountant and other administrative office support as required
  • Ensure the confidentiality of financial and non-financial information
  • Other duties as required

Experience Requirements

  • Community College Diploma in Accounting or equivalent
  • Minimum Experience: 2 years in a related field
  • Strong data entry skills and demonstrate high attention to detail
  • Must have excellent understanding of bookkeeping and control procedures
  • Good interpersonal skills are required to communicate effectively and clearly with suppliers and other external person in resolving problems, providing information and responding to queries; must be friendly, polite and courteous; must possess tact and use judgement in dealing with difficult and demanding suppliers
  • Organized and able to multi-task to meet scheduled and unexpected deadlines
  • Ability to work independently and in a team
  • Must develop a good knowledge of company’s accounting application software as it pertains to accounts receivable and perpetual inventory systems and operational skills involving the use of computers, calculators, and other office equipment; must possess strong working knowledge of Microsoft Office
