The Opportunity

We are actively recruiting for an existing vacancy on our supply chain team and are looking for a
Purchase Order Administrator. The successful candidate will be responsible for providing administrative support to the purchasing function, including the creation, maintenance, and tracking of purchase orders, document management, supplier communication and data entry. This role ensures accuracy, organization and timely processing within the procurement workflow.

Key Responsibilities:

  • Create and update purchase orders in the ERP system with accurate supplier, pricing, quantity, and delivery information.
  • Review purchase requisitions for completeness and proper documentation.
  • Maintain organized digital records of purchase orders, supplier documents, quotes, confirmations, and delivery paperwork.
  • Upload supporting documents into ERP systems or shared drives needed for record keeping.
  • Communicate with suppliers to request order confirmations, shipping details, and missing documents.
  • Update vendor profiles with basic contact information and documentation.
  • Enter data such as price updates, catalog details, and SKU adjustments as provided by the supply chain team.
  • Assist Accounts Payable by providing documentation needed to match invoices to POs and receipts.
  • Generate routine reports including open PO lists and overdue order reports.
  • Support RFQ administration by collecting quotes and maintaining comparison spreadsheets.
  • Maintain purchasing email inbox by categorizing, sorting, and forwarding inquiries.
  • Monitor the Supply Chain request inbox and action requests as they come in, preparing the POs for relevant Buyer approval.
  • Support the supply chain team with general administrative tasks as required.
  • Support annual inventory count on site with team.

Qualifications:

  • 1–3 years of administrative experience, preferably in procurement, supply chain, or a related field.
  • Postsecondary education in Business, Supply Chain, or a related field (college diploma or university degree).
  • Strong attention to detail and accuracy in data entry.
  • Experience with ERP systems or procurement software (e.g., SAP, NetSuite, Syspro) considered an asset.
  • Proficient with Microsoft Office tools (Outlook, Excel, Word).
  • Strong organizational skills with the ability to manage multiple priorities.
  • Effective written and verbal communication skills.
  • Ability to work collaboratively with internal teams and external suppliers.
