Purchasing Department- Admin Assistant Contract

Role Summary
This is a 6 month contract.

The Administrative Assistant is responsible for supporting the production team by performing various administrative functions, including the set up and maintenance of records, preparation of forms, data entry, and standardized reports either manually or on a computer terminal. This is the perfect opportunity to experience the purchasing department activities in a supportive environment.
Key Responsibilities
Provides daily administrative support to the purchasing team and Department Leader, maintains confidentiality, has working knowledge of document manager and other duties as required.
Issuing of purchase orders as required.
Verifies reporting by oursource vendors as required.
Assists with expediting report for MRO.
Provides reporting for claim in QPF
Updating of departmental KPIs
Compile WCR, NCR and Quality Alert data.
Microsoft Office Suite with a minimum of an Intermediate Level, CMS, eMaintenance, ADP
Maintenance of assets in eMaintenance
Receiving in CMS for purchase orders delivered
Co-ordinates tooling packages for sign off
Coordinates receipt of material and parts from outsource locations.
Provides support for filing and archiving of purchasing documentation in appropriate locations
Key Qualifications/Requirements
Business Administration Diploma or equivalent experience. |
Must have a thorough knowledge of general office procedures including PC and LAN computer use. Must be proficient in all relevant computer software and program use: including Excel, PowerPoint, Power BI & Database Management. Must have the ability to create and modify pivot tables and manipulate data to show relevant information. ERP experience is as asset. |
Must have maturity of judgement, excellent organizational and interpersonal skills, and display and above average standard of quality and professionalism in all aspects of work performed. |

The Administrative Assistant performs various administrative duties with standard procedures or general instruction from the Department Leader. The Administrative
Assistant must possess excellent organizational and communication skills, both verbal and written, to exchange and/or collect information from various contacts in the production department. The Administrative Assistant must have excellent computer skills and be capable of conducting basic computer training. The Administrative Assistant works in an office environment but may be exposed to some elements such a temperature and noise when passing through the plant.
