Who We’re Looking For:
As and Administrative Assistant is a highly motivated, organized and knowledgeable individual willing to contribute their experience and expertise to our team. Supports our entire team with a variety of tasks to ensure the design process progresses smoothly from start to finish.  The successful candidate will be organized, able to multitask and work as a positive member of the NSD team. This position will be located in our London, Ontario office.

What You’ll Be Doing:
As an Administrator, your responsibilities would include, but not be limited to the following:
  • Open and setup new projects per the Pre-Design procedure;
  • Pre-fill design forms.
  • Gather and file project documents from clients per NSD’s Standard Operating Procedures.
  • Update design progress logs
  • Manage the vacation request process
  • Reconcile MasterCard statements, order office supplies, prepare courier shipments and setup service calls
  • Administrative overflow and vacation coverage;
  • Other administrative tasks associated with the pre-design and design processes
  • Other duties and responsibilities as assigned by the Administrative Lead
What You’ll Need In Your Toolkit:
  • Experience as an office admin
  • Self-motivated with a great work ethic;
  • Detail oriented with great organizational skills;
  • Ability to work both independently and in a team environment;
  • Ability to clearly communicate, in writing and verbally, with all project stakeholders; and
  • Ability to prioritize, meet project deadlines and problem solve efficiently in a fast-paced environment;
  • Experience with Adobe Acrobat, and Microsoft Office (Word, Excel, Outlook);
  • Ability to read codes, technical specifications and building construction drawings including fire protection, architectural, structural, mechanical and electrical is a strong asset
  • Experience in the fire protection construction industry is an asset.
