Administrative Assistant


Position Description:

  • Provide administrative support to the Contracts department, in-house legal counsels, TCM, Stryker program with day to day requirements including coordination of meetings, calendar coordination, special projects, and travel arrangements 
  • Preparing, organizing and maintaining correspondence, administrative and other files
  • Managing budgetary information, coordinating invoice payments using TyMetrix and drafting monthly and quarterly reports
  • Monitoring of litigation files and docket for monthly litigation and other activity
  • Drafting routine documents/agreements, including corporate resolutions
  • Maintain departmental headcount budget records
  • Preparation and coordination of salaried/contractor E-requisitions, personnel changes, update of organization charts, and maintain departmental headcount budget records
  • Department travel coordinator and processing of travel expense reports for all teams
  • Submission of facility and maintenance Maximo requests, field facility inquiries and problem solve issues and update floor plans
  • Create & distribute department communications as required
  • Process ergonomic assessments, iSupports, and coordinate workstation reconfigurations and cubicle moves
  • Responsible for coordinating departmental records management, maintain office supplies, and coordinate interoffice mail / courier
  • Process visitor forms and coordinate catering requirements, including the dining voucher program
  • Payroll point of contact for all teams listed above - responsible for weekly payroll processing and submissions
  • Participate in continuous improvement projects
  • Liaison with HR, Payroll, Finance and other Administrative Assistants
  • Support Program and  Business Development admins as required with visits, travel arrangements/expense reports
  • Field day to day departmental administrative inquiries and problem solve issues
  • Provide administrative support to the Finance accounts payable department to create/modify financial details for suppliers in Oracle. 

 

Position Requirements:

REQUIRED QUALIFICATIONS:

  • College diploma 
  • Minimum 1-2 years of relevant work experience
  • Strong communication, interpersonal, organizational and analytical skills
  • Good judgment, discretion, ability to handle sensitive and confidential materials
  • Ability to take initiative and adjust priorities based on departmental initiatives
  • Ability to multi-task and work well within a team environment with limited supervision and time constraints
  • Strong computer skills in MS Office (including Word, PowerPoint and Excel)
